How to Avoid Email Spam Traps

Business owners and marketers abhor sending law-abiding emails only to have an ISP or spam watch group labeling that email as spam.

The FCC created and the government passed the CAN-SPAM Act to govern how business can send commercial emails. Because the small percentage of email marketers who could care less about the spam laws have made sending legitimate businesses emails a hassle at best, ISPs, email providers, and the FCC use different methods to catch spammers in the act. This includes using spam traps.

Unfortunately, a number of legitimate emails get caught in these traps as well, which can results in the sender unknowingly being labeled a spammer. Oftentimes, this label results in legitimate domains, email addresses and IP addresses being blacklisted.

The best way to avoid problems is to understand how spam traps work, and how to detect and remove them. Because spam traps and other email marketing issues are such a problem, a number of methods are available to help prevent spam traps from infiltrating your email list in the first place, and detect those that do.

How Do Spam Traps Get on an Email List?

Spam trap email addresses infiltrate email lists a number of ways, but usually when a bot:

·  Fills out a contact from

·  Signs up for a newsletter

·  Signs up for an email subscription

Buying email lists is another way spam traps get onto email lists, especially if you do not know the origin of the email addresses. For this reason alone, it is always better to capture your own addresses and create your own high quality email subscriber list. It takes longer to do so than purchasing a list does, but safety of knowing who your subscribers are is well worth the tradeoff.

How do Spam Traps Work?

Two types of spam traps exist: pristine traps and recycled traps. The type of trap that infiltrates your list can make a big difference in the outcome should you unknowingly send an email to it.

Pristine spam traps: ISPs and blacklists create these email addresses with the intention of catching spammers who use bots and scrapers red handed. They do this by creating a new email address, and then adding the newly created address to difficult to get to places, such as within source code, or in other places that humans would not come across it. The scraper then adds the trap to the email list, which then receives email, thus catching the sender in the trap.

Recycled spam traps: ISPs and blacklists take over email addresses that previous owners abandoned, or the ISP revoked for whatever reason. After taking over the email addresses, the ISPs watch the received email to see who continues to send without having received a response.

The consequences of sending email to a pristine spam trap are harsh, and usually result in ISPs permanently blacklisting your domain. This is because those who send to pristine traps usually harvested the email using blackhat means, and do not intend to abide by the Can SPAM act.

Consequences of sending email to a recycled trap are different, and usually result in a lowered reputation because ISPs can see that you don’t monitor your list. Email marketers get caught in this trap more often, and it is easier to repair your reputation as well.

How to Spot Spam Trap Addresses?

Removing bot-run email addresses is a task that can be automated using a Service Objects email address validation API. The API works by retrieving and appending information to each email capture before the capture is assigned to your list. You can then use the extra information to determine if the email address captured is from an actual person or if it is likely spam or a spam trap.

Those who only use legitimate means of capturing email addresses should attempt to detect and remove recycled email addresses as soon as possible. You can prevent spam traps by:

·  Automatically reject email addresses that are obviously malformed (missing the “.com” for example) because these can be spam traps

·  Confirm sign ups with opt in emails and welcome emails to ensure person wants to subscribe and that email is valid – spam traps can’t do this, and you can remove emails that bounce

·  Use captchas to help reject spam, and stop bots

·  Remove addresses to which you never receive a response, or those from which you’ve received a response previously, but abruptly stopped

Otherwise, as long as you never buy lists or harvest emails using unsavory methods, you should not have to worry about sending email to or detecting a pristine spam trap too much. However, if you do, you’ll want to remove detect and remove pristine traps immediately.

If you publish your ezine/newsletter through one of the emailing list services then you will also be provided with tracking stats for each issue.  Are you happy with the open rate, or does it seem exceptionally low for each issue?  Not only is it important that you publish your newsletter regularly, but equally important is that your subscribers receive it.

In addition to publishing regularly, you also need to be aware of how many people open each issue (your open rate) and the quality of your list i.e. would you rather have a list of 500 highly responsive subscribers; or a list of 5,000 blah subscribers? In terms of building your business, the smaller list of 500 highly responsive subscribers would be the better option.

Although there are several things you can do to ensure that 1) no only is your ezine getting delivered to your subscribers’ inbox; and 2) that once it’s delivered to their inbox they are opening it and taking action, today we are just going to focus on two specific areas:

  1. Is your list a double opt-in list?
  2. Do you send both a Text and HTML version of your newsletter?

If you have answered NO to one or both of these questions you could be sabotaging your own newsletter efforts!

1. Why do I need a double opt-in list?

Double opt-in is the process whereby when someone signs up to receive your newsletter via your website they receive an email from your email list provider, which asks them to confirm their subscription by clicking on a link in the email.  Once they have clicked on this link they are then confirmed as a subscriber to your list.

This process is known as double opt-in as:

::  they opt-in once via your newsletter sign up form on your website; and
::  they opt-in again by clicking the link on the email that they receive from your email list provider.

It is very important that you have this process in place as it avoids a subscriber being signed up to your newsletter by a third party, and therefore reduces the number of spam reports that you are likely to get.  Your subscriber has had to confirm for a second time that they want to be on your mailing list.

The downside to this is that your subscriber may not confirm their subscription, in which case you would lose the subscriber.  But if they really do want to receive information from you they will be on the lookout for your confirmation email.  And isn’t it better to have 100 subscribers who really do want to receive your information rather than 1,000 subscribers who aren’t that interested?

Just recently I had a conversation with support at my email list provider and asked them about their double opt-in process.  They told me that those lists that are set up as double opt-in lists are sent via a secure server that has been approved by the ISPs thereby resulting in a higher deliverability of your ezine.  Lists that are not set as double opt-in get sent out on a different server and could result in your ezine being blocked by the ISP.

So even if your subscriber has you on their white list (or friends list) if your list is not a double opt-in list they may not even receive your ezine!

Check with your emailing list service as to their policies on double opt-in.

2. Why do I need to send both Text and HTML versions of my newsletter?

Again sending both versions of your newsletter ensures that it will get through to your subscriber.  Some subscribers have their email programs set up to only receive text emails, and if you only offer a HTML version of your ezine they are not going to be able to read it.

Also, if you’ve sent your broadcast in both versions there’s a good chance it won’t be viewed as spam/junk email as spammers don’t usually send emails in both formats.

Conclusion:

To fix low newsletter deliverability there are two things you can do right away:

1.       Ensure your list is set to double opt-in.

2.       Send out both Text and HTML versions of your ezine.

How to get a meeting!

I was at an event where a business broker was discussing how to prepare your business for sale to get the highest dollar when selling. At the event I met several people.

I received an email a few days later from one people who simple said: “I want to meet with you and learn more about your business to see if I can help. Are you available for a meeting?”

Naturally, I said yes and we had a great meeting. Ironically she bought from me.

Contrast that to the emails I receive (sometimes daily) where some internet company (typically web design) sends me an email that talked about how good they are: we are from India, we have these skills (and proceeds to list them), we have all these employees, we worked with all these great companies, and you should hire us.

They don’t tell me why (what’s in it for me), they don’t tell me why I should care and most importantly they don’t tell me why I they are the best (right and safe choice) for me. This is a problem because I have worked with some Internet marketing companies and they don’t response after they take your money. It is frustrating because it is impossible to stop these types of emails other than make them as junk.

If you want a meeting, tell me what’s in it for me. It could be as simple as I want to get to know you better. Someone recently did that and I spent 30 minutes on the phone with him and we agreed to have a follow-up meeting.

When requesting a meeting there are three things to keep in mind:

  1. Tell the person the purpose of the meeting – be clear.
  2. Tell them what you want to cover – have an agenda – they can’t read minds.
  3. Tell them why they should meet with you (answer that lifelong question of what’s in it for me?) Put yourself in my shoes and ask yourself is this a good reason. Be brief.
  4. Suggest a date/time so we can eliminate phone tags – in the event the other person accepts the request.

Public unlimited company

Public limited companies

The company’s shares are sold and traded to the public with a minimum share capital of £50,000 and the letters PLC after the name. 

How to get started 

Follow the basic steps below to find out how to set up a limited company limited by shares:

Register with Companies House

UK limited companies have to register with Companies house, along with the directors and shareholders appointed. This process is called incorporation. The moment your company has been incorporated, it will be recognised as a limited company.

Notify HMRC

If you are going to be employing staff and including yourself as director, there are certain things you need to register for when starting up a limited company – namely corporation tax, PAYE, and NI. You also need to register for VAT if you want to claim VAT on expenses.

File financial accounts

You will need to file financial accounts once a year to HMRC and Companies House. Hiring a professional or a reputable accounting firm will be the best – as you will need to follow specific Generally Accepted Accounting Principles.

Keep strict records

It is important that you keep a record of all your business’s income, as well as, expenses. This is vital, as you will need this information to draw up accurate annual accounts. These records need to be kept for 6 years from the end of the accounting period.

The directors’ job

The directors will have to two main responsibilities, Personal Income Tax, and financial accounts. For Personal Income Tax – they must complete a Self-assessment income tax return annually. For financial accounts – directors must make sure that the financial accounts of the company are accurate. 

Company Tax Return

Whether your company makes a profit or not, you are required to send a company tax return following every accounting period. Each company tax return can cover a maximum of 12 months.

Give Attention to Positive Thoughts

When you receive negative news, acknowledge your emotional reaction. Disappointment, anger, frustration, and other emotions must be processed to avoid blocking your emotional intelligence development.

However, do so quickly. Give yourself a little time to experience those emotions. Then flush them. Yes, multiple flushes are required sometimes. Do it and move on. Now.

As you flush quickly, you create room in your mind for what you can do to redirect the negative news. You focus on what you can control and influence, refusing to rent space in your head to what is beyond your reach.

Give attention to positive thoughts that are actionable.

Give Attention to Positive People

When you receive negative news, there typically is a messenger. If it’s technology-driven, cut it off. If it’s human, thank them and excuse yourself.

There are negative persons who enjoy delivering bad news. If there’s too much good news, they create negativity.

I call them Eeyore Vampires.

Their mantra is “It’ll never work.” They suck positive attention from you even when away from work trying to love what you do with those you love.

Treat Eeyore Vampires like they have a contagious disease and you’ll catch it.

Give your attention to positive people. Those persons who bring out the best in you, who have your best interest at heart, and who ask questions like, “How may I best serve you?”

Give Attention to Positive Outcomes

Each of us experiences outcomes that fall short of our expectations regardless of how hard we work or how much we prepare. When your negative news is of this kind, remind yourself of a previous experience when you exceeded your expectations; when you succeeded.

Celebrate that experience once more. Give attention to sustaining that celebrative attitude. Tell yourself, “If I did it once, I’ll do it again.”

Most likely, that positive experience was the accumulation of previous learning experiences of “bad news” like the current one. Reliving that success guides you to the next.

Give attention to positive thoughts, people, and outcomes and productively achieve your dreams today.
